For sheriff's and marshal's civil units

Deputies and civil technicians record each visit on a county or personal phone. The civil office sends cases out and gets the visits back on civilstamp.com, beside your county system.

The Certificate of service

Reports from a sheriff's or marshal's office close with a Certificate instead of the perjury declaration:

I certify that this report is true and correct, and that I made the visits it describes as part of my official duties.

Then the date, the signature and the deputy's name, title, ID number and agency. The photo stamp reads the title and ID, like "Deputy Sheriff · ID 4471".

Roles

  • Manager: the sergeant and a backup. Everything, including billing.
  • Office: civil clerks. Every case, and adding deputies.
  • Server: deputies and civil technicians. Their assigned cases.

Rank and job go in each person's title, which prints on reports.

Rotation

When a deputy rotates out, remove them on Team and pick who takes their open cases. Their visits stay with the office. When they rotate back, add them again on Team with Add a person. They join with the new code and see their earlier visits again.

A week of relief costs one month's $15, and nothing in months they don't work.

Paying

  • By county card through Stripe. The fiscal office can use Stripe's billing page from an emailed link, with no CivilStamp account.
  • By purchase order: email us, and we keep your office free while it goes through. We send the invoice by hand.
  • $15 a month for each person who records a visit, never more than $399.

CJIS

CivilStamp holds civil process work: papers, addresses, visits and photos. It isn't built for CJIS, so don't put CLETS or NCIC results, criminal history or other criminal-justice information in it.

We look at your cases only when your office asks us to help.
